Preparing a vehicle for transport helps create a clear condition record and gives the transportation provider useful information at pickup. Specific carrier or shipment instructions can vary, so follow the instructions provided for your arrangement when they differ from this general guide.
Clean the Vehicle for Inspection
Wash the exterior and remove excessive dirt where practical. A reasonably clean surface makes existing scratches, dents, chips, and other visible conditions easier to identify during the pickup inspection. Cleaning the interior can also help you find and remove personal items.
Photograph the Existing Condition
Take clear, time-stamped photos from several angles before pickup. Include the front, rear, both sides, wheels, glass, roof, and any existing damage or unusual condition. Keep the original photos with your transport records. The carrier’s inspection report or Bill of Lading remains an important shipment document.
Remove Personal Items and Valuables
Remove valuables and personal property unless the applicable transport arrangement and carrier expressly allow otherwise. Loose items can move during transport, interfere with loading, or be excluded from applicable coverage. Do not leave prohibited, hazardous, illegal, or fragile items in the vehicle.
Check Fuel and Mechanical Condition
Follow the fuel-level guidance provided for your shipment; carrier requirements may vary. Tell the team and carrier whether the vehicle runs, steers, rolls, and brakes. Disclose leaks, battery issues, modifications, low clearance, unusual dimensions, or any condition that may affect loading or unloading.
Keys, Alarms, and Removable Items
Provide the keys needed to operate the vehicle and retain any spare keys unless the carrier requests them for the shipment. Disable alarms and explain any special starting or operating procedure. Check roof racks, antennas, spoilers, loose trim, removable accessories, and other exterior items; secure or remove them when appropriate and permitted.
Review Pickup Access
Confirm that the pickup location has safe and lawful access for the expected equipment. Large carriers may not be able to enter narrow streets, tight driveways, low-clearance areas, or restricted facilities. If direct access is not practical, coordinate a nearby safe meeting point before pickup.
Complete the Pickup Inspection
Be available or arrange an authorized representative who can review the vehicle. Walk around the vehicle with the carrier, compare the condition with your photos, and make sure visible existing damage and material notes are recorded accurately on the applicable inspection document or Bill of Lading before signing.
